Base Defence Gym (BDG)

1. Introduction

These Terms of Service ("Terms") govern your access to and use of the facilities, classes, and services provided by Base Defence Gym (BDG). By registering as a member, attending a class, or using our premises, you agree to be bound by these Terms.

2. Membership & Payment

  • All memberships must be paid in advance via direct debit, standing order, or approved online payment platform.

  • Missed payments may result in temporary suspension of access.

  • Memberships are non-transferable and non-refundable except where required by law.

  • Cancellation requires 14 days’ notice in writing or via our member portal.

3. Membership Cancellation Policy

Members may cancel their membership at any time by providing a minimum of 14 days’ written notice.

Notice must be sent either:

  • by email to info@basedefencegym.com, or

  • by WhatsApp message directly to the official BDG admin number.

Please note that messages sent to class or group chats will not be accepted as formal notice. This ensures that your request is received securely, recorded properly, and processed without delay.

The 14-day notice period begins on the date your written cancellation request is received. Any membership fees due within that period will still be charged, and your gym access will remain valid until the end of the notice period.

If your membership was purchased online, you are also entitled to a statutory 14-day cooling-off period under the Consumer Contracts Regulations 2013. If you cancel within this period and have not used any services, you will receive a full refund. If you have used the gym or attended classes during this period, a fair deduction will be made to cover the days or sessions used.

BDG reserves the right to update or amend membership terms, including cancellation policies, with reasonable notice to all members.

4. Temporary Closures and Unforeseen Circumstances

Members acknowledge and agree that Base Defence Gym (BDG) may occasionally need to close or suspend certain classes, sessions, or access to the facility due to circumstances beyond its control. These may include, but are not limited to:

  • Coach absence due to illness, injury, or personal emergency;

  • Public holidays such as the Christmas and New Year period;

  • Scheduled maintenance, safety inspections, or facility repairs;

  • Unforeseen events such as extreme weather, power failure, or other operational issues.

In such cases, BDG will make all reasonable efforts to notify members in advance and to minimise disruption by offering alternative sessions, schedule adjustments, or temporary extensions where possible.

Members agree that temporary closures or session cancellations under these circumstances do not entitle them to refunds or compensation, provided BDG acts reasonably and reopens as soon as practical.

5. Refunds and Membership Holds

Membership fees are non-refundable once paid, except where required by law. BDG may, at its discretion, offer a membership freeze or credit for members unable to train due to verified injury, medical condition, or extended travel, provided suitable evidence is supplied.

6. Force Majeure (Uncontrollable Events)

BDG shall not be liable or held in breach of contract for delays or failure to perform obligations where such delay or failure arises from events beyond its reasonable control, including but not limited to natural disasters, government restrictions, pandemics, or emergencies.

7. Class Bookings & Attendance

  • Classes must be booked in advance where applicable.

  • BDG reserves the right to change the class schedule, instructors, or content at any time.

  • Late arrivals may be refused entry for safety reasons.

  • Repeated no-shows may result in booking restrictions.

8. Code of Conduct

All members must:

  • Treat staff, coaches, and fellow members with respect at all times.

  • Wear appropriate training attire and maintain personal hygiene.

  • Use equipment responsibly and follow all safety instructions.

  • Refrain from any form of abusive, violent, or discriminatory behaviour.

BDG reserves the right to suspend or terminate membership for breaches of conduct.

9. Health & Safety

  • All members are responsible for informing BDG of any pre-existing injuries, medical conditions, or limitations before participating in classes.

  • You train at your own risk. Martial arts, including BJJ, Muay Thai, Judo, and MMA, are contact sports and carry an inherent risk of injury.

  • First aid is available on-site; serious incidents will be escalated in accordance with our health & safety policy.

10. Youth & Junior Members

  • Children under the age of 18 must have parental or guardian consent to train.

  • Parents/guardians are responsible for their child’s conduct and attendance.

  • BDG staff reserve the right to remove children from classes due to unsafe behaviour.

11. Facilities & Amenities

  • BDG makes reasonable efforts to maintain clean, safe, and functional facilities.

  • We are not responsible for lost, stolen, or damaged personal belongings. Lockers are provided but used at your own risk.

  • Changing rooms and showers are available for use before and after classes only.

12. Media & Content

  • By attending BDG, you consent to potential video or photography content for promotional use unless you notify staff in writing.

  • Members may not record classes or others without express permission.

13. Liability

  • BDG is not liable for injuries sustained due to unsafe personal conduct, disregard of coaching instructions, or external health issues.

  • We recommend all members seek medical advice before beginning any new fitness regime or martial arts training.

14. Personal Data and Privacy

BDG collects and stores personal data for membership administration, safety, and communication purposes in accordance with UK data protection law (GDPR). Data will not be shared with third parties except where required by law or for operational needs such as payment processing or safeguarding.

15. Amendments

We reserve the right to update these Terms at any time. Members will be notified of significant changes. Continued use of BDG facilities or services constitutes acceptance of any revised Terms.
